Branch Operations Administrator

Reports to: reports directly to the Executive Committee.

Classification: Full-time, salaried employment.

Work Schedule: Typically 40 hours per week, varies based on program needs and events.

Position Summary:

The Executive Committee of the Eugene Springfield NAACP seeks a motivated individual with relevant community relations experience, exceptional organizational skills, and experience managing programs, budgets, and staff, to serve as the full-time Branch Operations Administrator of the Eugene/Springfield NAACP Branch operations. The Branch Operations Administrator, in partnership with the elected Executive Committee, works to meet goals and raises funds to support the ongoing work and programs. The Branch Operations Administrator interfaces with community partners such as the cities in Lane County, state staff and officials, the County, and local community-based organizations. The Branch Operations Administrator is responsible for the branch’s financial management, stewardship and development, and administration of policies and procedures.

Leading: The Branch Operations Administrator provides leadership in maintaining a positive, productive relationship among the elected leadership, staff, members, donors, and the community.

Fundraising: Establish goals that challenge and motivate members to increase support for day-to-day operations via individual gifts, annual campaigns, major gifts, planned gifts, sponsorships, lifetime giving, foundation giving, and grants.

Educating: Articulate the goals and visions of the Eugene/Springfield NAACP with the community.

Strategic Planning: Create opportunities and incentives for charitable giving. Build partnerships in the community to further this goal.

Overseeing: Manage the legal and fiscal nature of the Branch operations, ensuring the Executive Committee is aware and votes in favor of all opportunities and obligations before committing resources. Ensure required financial and legal records meet nonprofit accounting principles.

Budgeting: Provide budgets and projections to the Executive Committee and staff for regular planning.

Creating: Oversee the creation of marketing materials, including fundraising campaigns, newsletters, direct mail solicitations, planned giving materials, program materials.

Reporting: In collaboration with the Executive Committee, organize monthly meetings and provide monthly reports on affairs and status of the finances and membership.

Administrating:

  • Establish regular, consistent communication with the Executive Committee.
  • Prepare budget and financial documents for monthly and annual Executive Committee review.
  • In collaboration with the Treasurer and Certified Public Accountant, assists with preparation of annual federal and state tax returns, and audit/quarterly/annual comprehensive financial reviews.
  • Manage data in spreadsheets and reports.
  • Supervise staff and volunteers.
  • Keep records and file reports.

Salary and Benefits

Determined by qualifications. Compensation package range: $42,000–$50,000. No Medical benefits available.

Qualifications:

Experience preferred working with MS Office, Google Drive, Slack, QuickBooks, and MailChimp or similar marketing automation platforms. Should have a working background with a minimum of four years’ experience in fundraising, administration, and financial management, a good understanding of office procedures and practices, and experience working with a nonprofit board. Previous successful grant writing and large-scale event management are required. Must have excellent interpersonal skills, writing skills, and computer skills. Ability to prioritize and manage work in a fast-paced environment. Ability to work flexible hours, including evenings and weekends for programs and events as needed.
